How to set up a pre-build and get the most from its potential functionality.

Creating a Pre-Build

Set the Name

Give the pre-build a name. If no name is used, it will not appear in the 'New' dropdown and therefore be unavailable.

Set the PDF Document and Email Templates

Set up how the PDFs for quotations, jobs/works orders, etc., will appear on the pre-build, and use the correct email text.

Add Staff Notes

These are for internal use and will help your staff to follow your procedures.

Add to Sections and Items

Please add sections and items within them that you'd like to appear on every document created from this pre-build. These can be left blank.

In this example, all quotations generated from this pre-build will have a section 'Additional Charges' with the item 'Origination'.

Automated Messages

Set up automatic emails and SMS to customers, suppliers, and users and pop-up notifications to team members.

Tasks

Automatically create tasks for team members when quotations, jobs/sales orders, etc., move to a status.

Questions/Playbooks

Ensure your team follows processes with screens that change according to their status.

  • Split the fields in a status into two or more screens

  • Make some fields mandatory/required.

  • Use pre-build specific fields

eForms

By setting this in the pre-build, an eForm can automatically be generated and attached to a document (e.g., quotation, job/sales order, etc.).

Attachments

These can be terms and conditions, etc. If you want them merged into the final document rather than just attached, click on this button on the preview page:

Feedback

Ask for customer feedback from customers automatically.
