What Each Module Does

A brief description to help you decide which ones to use

All the modules can be renamed to names that are more familiar to your team.

Projects

Sometimes renamed Project Bag.

Project tracking allows you to see budget versus actual spending and group together quotations, jobs, invoices, etc. Sometimes, this is called a 'project bag'.

Leads

Sometimes renamed Opportunities or Pipelines.

Manage your leads on multiple pipelines or boards. Easily create a quotation from the lead, which is then automatically linked.

Quotations

Sometimes renamed Proposals, Estimate, Configure/Price/Quote CPQs)

Create and send quotations.

Request for Quotations (RFQs)

Sometimes renamed Request for Proposals (RFPs).

When you frequently send out price or availability requests to suppliers. These can be generated from your quotations, purchase orders or jobs.

Jobs

Sometimes renamed to Orders, Sales Orders.

Orders are managed in the central module of Zigaflow. Even if the order process is simple,, we recommend using this module for order management as it provides the best reporting and tracking on purchase orders and delivery notes.

Works Orders

Sometimes renamed to Production Instructions, Worksheets.

This module allows you to manage internal processes such as installation or production separately from Jobs/Sales Orders. Works Orders can be nested, and single works orders can be created from individual line items on parent works orders or jobs.

Purchase Orders

Sometimes renamed to Supplier Orders.

Create, send and track purchase orders for suppliers.

Delivery Notes

Sometimes renamed to Dispatch Notes, Pick Tickets, or Delivery Labels.

Usually generated from jobs, these are used for picking stock, proof of delivery and automatically booking stock out of inventory. Commercial Invoices can also be created and managed here.

Invoices

Zigaflow can create invoices from the jobs and delivery note modules at the click of a button. These can be automatically chased if no payment is received and automatically exported to your accounts system. Using Zigaflow to create invoices will speed up the issuing of invoices compared to doing this in an accounts system.

Contracts

Manage your contracts, whether for servicing, rental, or other purposes. Automatically generate jobs for equipment servicing based on specific time intervals. Also, it can automatically generate and send regular invoices.

Send contracts to the customers for e-signature.

eForms

Create certificates and safety documents, get customer e-signatures (e.g. artwork approval, design approval, job completion), site images, and more with this highly flexible module. It allows users who do not have a login to Zigaflow to access and complete the forms.

Customer Returns

Manage the return of items from customers back into inventory.

Tickets

Log tickets from internal users, customers or suppliers. These can be directly linked to documents such as a purchase order or job.

Client Assets

Track what you service and/or sell to customers. This is only for items with a serial number or other unique reference and can be loaded with an existing list. These can be linked directly to quotation, job, or contract line items for better tracking.

Feedback

Automatically send requests for feedback to customers and track their satisfaction in Zigaflow.

SMART Goals

Track specific metrics across multiple modules.

Cashflow

Forecast cash flow based on jobs, flowing through to purchase orders, supplier invoices, and sales invoices.

Supplier Invoices

You can input these either by hand or using the PDF recognition functionality. Putting these into Zigaflow first and then exporting them to your accounts system saves time at month's end.
